Policy on Amending Request Date Ranges 


To ensure a smooth and efficient records request process, there are restrictions on when request date ranges can be modified on active requests.

We have observed frequent instances where users request a date range change after receiving an invoice or approving payment. Unfortunately, this often causes confusion for providers, leading to processing delays, incorrectly fulfilled requests, and higher invoices due to expanded date ranges.

To prevent these issues and streamline the process for both our clients and providers, request date ranges can only be modified before we receive the provider’s invoice or estimate. Once an invoice or estimate has been issued, changes will no longer be accepted and a new request will need to be placed for the remaining dates. 

Exception:
If an invoice is higher than expected, the requesting clerk may shorten the date range to reduce the fee and limit the number of records obtained.

This policy ensures greater clarity, minimizes delays, and helps maintain fair and predictable costs for all parties involved.
