1. What is Medchart?

Medchart is a secure online service which allows you to order your health records and diagnostic imaging from any healthcare institution within Canada. Some clinics have partnered with medchart to help patients request records online, without the inconvenience of coming into the clinic in person.

Using Medchart, you will create a user profile and select the records you would like to request. Your request will be sent directly to the clinic's staff to be processed, and you will receive an email notification once your records are in your secure portal, ready to be viewed and/or shared.


2. Will ordering my records online cost more money?

There is no additional fee to patients when requesting their own records using Medchart at a partnered clinic. If your clinic is using Medchart to release records their normal fee schedule for releasing information will apply when requesting records online.

If you are requesting records from a clinic that is not part of our partner network, a MedChart processing fee of $20 (+HST) will apply in addition to any fees charged by the clinic for the release of records.

This is a flat fee that remains the same regardless of the size of the file or the time required to obtain the records. It covers the comprehensive services provided by our team, including coordinating with the clinic, accurately retrieving and digitizing your records, and ensuring they are delivered to you in a timely and secure manner.

 

3. How long will it take to get my records online?

If you are requesting records from a connected provider, your records are typically available within a few days.

For providers outside of our partner network, the retrieval process may take up to 30 days, depending on factors such as the provider’s current volume of record requests. Please note that while we make every effort to expedite the process, we cannot guarantee that records will be produced within this timeframe.

MedChart streamlines the record retrieval process by eliminating the need for mailing and in-person pickups, helping to reduce overall wait times.


4. Why should I order my records online using Medchart?

Ordering your records online has several benefits, including:

  • Convenience: Avoid the time and cost associated with traveling to hospitals or clinics to obtain your records.
  • Secure Access & Sharing: Receive your records electronically, allowing you to securely view, download, and share them with healthcare providers or others of your choosing—whenever and wherever you need.


5. Who can use Medchart to order records?

Patients, Parents/Guardians, Powers of Attorney, Executors of Estate, Lawyers, Insurance companies or any other authorized party can use Medchart with the appropriate consent.


6. Can I only use Medchart for clinics who use Medchart?

No. You can request records using Medchart from any clinic, hospital or health provider in Canada and in some instances the United States of America. 

For clinics and hospitals, which don't currently use Medchart you will be charged a $20(+HST) service fee from Medchart in addition to that organization's standard fee schedule. (The Medchart fee is a flat fee that doesn't change based on file size or time to retrieve the record. The provider fee, also known as the HIC fee, is determined after the request is received, in accordance with applicable guidelines. The fee is calculated based on the total page count of the requested records.)


7. Will MedChart Transfer my records to my new provider after I have placed my request for records?

While MedChart facilitates the request of medical records on your behalf, we do not currently transfer records directly to your new healthcare provider. Once the records are received, they will be uploaded to your profile under the "My MedChart" tab, where they can be securely downloaded.


You may then transfer the records to your new provider by saving them to a USB drive or using our built-in Share feature. This feature allows you to enter the name and email address of your new provider, who will receive a secure link to access the records after creating their own MedChart account.
